April 1st has passed. Now what?
Like thousands of Belgian freelancers, I had to switch to PEPPOL invoicing. Here is my honest experience after 30 days — the good surprises, the frustrations, and what I wish I had known before starting. If you're still on the fence, this story is for you.
Day 1: panic
I procrastinated. April 1st arrived and I was still sending PDF invoices by email. My main client (a large company in Antwerp) sent me a blunt message: "From now on, we only accept PEPPOL invoices." Total panic.
I called my accountant first. He said: "Yes, it's mandatory as of today for B2B. You need to get started." Thanks for the late reminder. I spent the entire morning googling "PEPPOL invoicing Belgium" while drinking three coffees too many, convinced it would be yet another administrative nightmare.
Day 1 (continued): registration
I searched "PEPPOL invoicing Belgium" on Google. Found a platform, created my account in 30 seconds with Google login. Entered my VAT number — and to my surprise, my name and address filled in automatically. The system verified everything in the Belgian KBO registry and EU VIES. My PEPPOL ID was activated in 2 minutes. Literally two minutes.
I had expected endless forms, validation by mail, 5 business day activation times. None of that. Two minutes. I even checked twice that it had actually worked, it was that fast. The relief was immediate — the mountain I had imagined turned out to be a tiny hill.
Days 2-5: the first invoice
I created my first PEPPOL invoice the next morning. The interface looks like any invoicing software — client, lines, VAT, amount. Nothing new on that front. But when I clicked "Send via PEPPOL", the invoice went out instantly. No email. No PDF attachment. No "please find attached".
My client received it directly in their accounting system and confirmed receipt within 5 minutes. Five minutes! Previously, I had to send the email, wait for them to see it, forward it to their accounting department, manually encode it... minimum 3-5 days before anyone confirmed anything. Often I'd get a "I didn't receive your invoice" two weeks later and had to resend it.
The second invoice was even faster. The client data was already saved. Three clicks and done. I started to understand why some colleagues had switched to PEPPOL well before the deadline.
Day 3: the mobile app
I downloaded the app on my phone. Why? I was at a restaurant with a client and he asked me for an invoice for the meal. Before, I would have said "I'll send it tomorrow" and forgotten about it for three days.
This time, I pulled out my phone, opened the app, created the invoice in two minutes while he finished his coffee, and sent it via PEPPOL. He received it before we even left the table. The look on his face — that mix of surprise and admiration — was priceless.
I also turned on push notifications. Now I get an alert as soon as a PEPPOL invoice arrives in my inbox. No more invoices sitting unseen in my email for days.
Day 7: the AI scanner
A supplier sent me a paper invoice (yes, these still exist, especially from small tradespeople). I took a photo with my phone from the mobile app. The AI read everything: supplier name, amount, VAT, date, invoice number. All extracted in seconds. I just verified and confirmed.
Before, I would have spent 10 minutes encoding it manually in an Excel spreadsheet, with the risk of mistyping a digit. And if I didn't do it immediately, the receipt would end up in a drawer and I'd find it three months later while preparing my VAT return, cursing my lack of organization.
Day 10: my accountant's reaction
My accountant connected to the portal. It was the first quarterly meeting since I had switched. Usually, I spent the two days before the meeting gathering invoices, receipts, and bank statements, then sent him a 50MB ZIP via WeTransfer with apologies for the mess.
This time, he logged in, saw everything in real time, exported the data to CSV, and told me: "This is the first time a client hasn't asked me to search for missing invoices." He looked almost moved. Day 14: first PEPPOL invoice received
My first supplier sent me an invoice via PEPPOL. It appeared directly in my PEPPOL inbox — not in email, not in spam, not lost. With all structured details: amount, VAT, due date. My accountant was thrilled because there was nothing to encode.
The best part: the data is structured. No PDF to read, no blurry scan to decipher. The amount is an amount, the VAT is the VAT, the due date is a date. My software knows exactly when this invoice needs to be paid and reminds me.
Day 15: the DemBot moment
A new client contacted me — a company based in the Netherlands. My first intra-community invoice. Mild panic: reverse charge, mandatory mentions... I couldn't remember what had to be on the invoice.
I opened the DemBot chat and typed: "I need to invoice a Dutch client, B2B, how does the VAT work?" In 10 seconds, I had the complete answer: no VAT to charge, mandatory mention "Reverse charge - art. 44 directive 2006/112/EC" required, and the system would add it automatically upon detecting the Dutch VAT number.

I even started sending invoices on the same day as the service instead of waiting until the end of the month. Result: clients pay faster because they receive the invoice while the work is still fresh in their memory.
Day 21: the tax dashboard
I discovered the "Financiar" section — a dashboard that calculates my taxes in real time. Social contributions, progressive income tax, net VAT — all there. And the fiscal calendar reminds me of every deadline.
What impressed me most: the income simulator. I could see in real time how much I'd keep net if I took on a new project. No more pulling out the calculator to roughly estimate my taxes — the dashboard tells me down to the euro.
Day 25: a friend asks for advice
My friend Thomas, a freelance graphic designer, called me: "How do you invoice now with that PEPPOL thing? Is it complicated?" I showed him the platform via screen share. His registration took 3 minutes (he types slowly). His first invoice, 5 minutes.
He said: "I spent more time being afraid of it than actually doing it." Exactly what I thought on day 1.

Faster payments: my average payment time dropped from 38 to 22 days. Why? Invoices arrive instantly in the client's accounting system, not in someone's email inbox while they're on holiday.
Accountant savings: my accountant spends less time on my file thanks to the portal. He's even considering reducing my flat fee next year.
Invoices this month: 12 outgoing invoices, 8 PEPPOL invoices received. Zero lost invoices, zero "I didn't receive it" disputes, zero manual encoding.
Less stress: hard to quantify but very real. I no longer wake up at night wondering if I forgot to send an invoice or if my client listing is overdue.
What I wish I had known
That it's this simple. I put it off for months out of fear of complexity. In reality, registration takes 2 minutes, the first invoice 5 minutes, and after that everything runs on autopilot. If I had known, I would have started well before the deadline.
That my clients would be happy about it too. PEPPOL isn't just a legal obligation — it's a better service. My clients receive invoices instantly, in a format they can process automatically. Several have thanked me, which never happened with a PDF by email.
3 months later: a preview
I'm writing this post after one month, but I'll be back in two months to share the rest. Spoiler: I've since connected my bank to the platform for automatic reconciliation, and I discovered that DemBot can analyze my invoicing patterns to suggest optimizations. But that's another story.
